Planning an event has many moving parts and can become stressful without proper preparation. Because events are live, unexpected challenges can occur, including weather changes, traffic delays, or vendor issues.

The goal of strong planning is to anticipate these moments and create a structure that keeps everything running smoothly on the event day.

Below are key steps to help guide the planning process and support a seamless experience.

1. Require a Full Logistics Walkthrough

Ensure all key event professionals attend the on-site logistical meeting or walkthrough.

Even experienced vendors benefit from reviewing the specific layout and flow of each event. Since every client and property is different, this step should never be skipped.

When necessary, an additional fee may be required to ensure full attendance, but it is well worth the investment to avoid issues on the event day.

2. Plan for Restroom Staffing

For private estate weddings and outdoor events, restroom attendants help maintain cleanliness and guest comfort throughout the event.

Regular checks ensure standards are maintained, and any issues can be addressed immediately. This small detail significantly improves the guest experience.

3. Confirm Parking and Transportation Early

Always evaluate parking logistics before finalizing your venue.

Many estate events now rely on Uber, Lyft, or shuttle services to manage guest transportation safely and efficiently. It is important to confirm that your chosen location can support your transportation plan.

This allows time to review priorities and ensures no important moments are missed. We also recommend assigning two coordinators who know the VIP guests to assist the photographer during cocktail hour.

For example, if dinner timing shifts earlier than expected, someone must decide whether to proceed or delay service to maintain the guest experience and event flow.

This week’s blog is a tribute to my mother, Phyllis Anne Provenzano, who passed away peacefully on May 30, 2015.

My mother has been a central part of my life since the day I was born. I learned so much from her throughout my life. She was my best friend and confidante. We talked about everything — from life and fashion to relationships, marriage, and entertaining. There was truly no subject off limits.

We cherished our time together, and I would not trade those memories for anything.

Next month, we will gather for a Celebration of Life in her honor. I will always miss her, but she will forever remain a part of me.
